kSuite does what Google Workspace does: mail, calendar, files, video calls, documents written together. What separates the two is which law the company holding your data answers to. And what the move really costs.

First, where you stand

Most of the companies we take over are on Google or Microsoft without ever having decided it. It happened in stages: an account opened eight years ago, a team that grew around it, and a subject nobody has reopened since.

It works, and that is not a fault to fix. It is a decision that was never taken — and it ends up being asked, usually the day a client asks it in writing.

The difference, in two sentences

An American company remains subject to American law wherever its servers are: an authority can demand your data even when it is stored in Europe. Infomaniak is Swiss, its servers are in Switzerland, and your data answers only to Swiss law and the GDPR.

The rest — region options, certifications, architecture diagrams — does not change that.

This choice does not stand alone. An office suite decides your accounts, your sharing and your backups — that is to say, half of your IT.

What you get, concretely

Mail at your own domain, with the storage that goes with it. The company's files shared and synced, with room for years. Team messaging and video calls. Documents, spreadsheets and presentations written together on the same file — and your Word, Excel and PowerPoint files open in it without conversion. Plus an artificial-intelligence assistant, hosted in Switzerland as well.

The price list is public, on their site, and it is low. It is not what decides.

Two things change on a Mac fleet

This is our trade, so we will be precise.

kDrive installs on the Mac and appears as an ordinary folder. Nobody changes their habits; there is nothing to relearn.

Mail is different: it connects directly to Apple's Mail, Calendar and Contacts, with no Google account attached to each machine. The detail sounds minor. The day someone leaves the company and their workstation has to be taken back, it counts in hours — we have spent them.

When Google Workspace remains the right choice

Saying so is part of the advice.

If your collaboration runs mostly outward — clients, agencies, partners already settled in it — and if your line-of-business tools connect to it natively, Google keeps the advantage. Sharing a document with someone who has no account remains smoother there.

In that case the right question is not moving everything. It is deciding which data has to stay in Switzerland, and moving only that. The answer is rarely “all of it”, and a company can live perfectly well with both.

The migration, where the hours go

The choice is made in one meeting. The move is not. Here is what transfers, and what does not.

    From any provider. Old messages arrive with their folders.

    Status: automatic

    From OneDrive, Dropbox and most storage services. An assistant takes care of it.

  3. 3. The team conversations

    Status: lost — and it must be known beforehand

    The history of Teams, Slack or Google Chat cannot be recovered. If a decision from March lives in a thread, it stays there. It gets exported before the move, or its loss gets accepted — but that is decided, not discovered.

  4. 4. The rest

    Status: by hand, and it is the bulk of the work

    Aliases, mailing lists, shares, room calendars, signatures, and every device to take back one by one.

To give you an order of magnitude: in a firm of twenty people, point 4 weighs more than the other three combined. That is where a change of suite succeeds or fails — not in the choice.

Where is the data hosted with Infomaniak kSuite?

In Switzerland, in Infomaniak's own data centres. That is the main difference with Google Workspace, whose data can travel outside Switzerland depending on the configuration.

Can you migrate from Google Workspace to kSuite without losing your email?

Yes. Mailboxes, contacts and calendars transfer. What needs attention is the shared files and the access rights: that is where the hours are lost.

Which one costs less for a small company?

The per-user price is not enough to decide. Count the storage actually used, the tools you will replace, and the migration time. The figure depends on your set-up.

Do they work well on Mac?

Both work on Mac. The difference plays out in the integration with Apple's Mail, Contacts and Calendar, and in account management once the fleet is deployed.
